In one sentence

A pivot table turns a long data table into a compact cross-tab: it groups rows by one or more fields, then rolls up a numeric field with SUM / COUNT / AVG / MAX / MIN. It answers questions like “total sales per region per sales rep” without writing any formulas.

The four drop zones

  • Rows — field(s) whose unique values become the grid’s rows (left side). Use categorical / text fields here, e.g. Region.
  • Columns — field(s) whose unique values become the column headers across the top, e.g. Sales Rep. Leave empty for a plain one-column summary.
  • Values — the numeric field being aggregated. Each grid cell = one aggregation of that field for the row × column combination.
  • Filters — optional field that restricts which rows are included; a dropdown lets you pick All or a single value.

The aggregation functions (Aggregation dropdown)

  • SUM — add up the numeric values in that row × column bucket.
  • COUNT — how many source rows land in that bucket.
  • AVG — mean of the numeric values (blank / text cells are skipped, like Excel AVERAGE).
  • MAX / MIN — largest / smallest numeric value in the bucket.

Worked example

Suppose your sheet looks like this (Region in column A, Amount in column C):

1) Drag Region to Rows and Amount to Values, keep SUM — you get:

3) Move Region to Filters and pick North — only the two North rows are included in the grid.

Tips

  • Double-click a field to drop it into Rows; drag it to any other zone; click the × on a chip to remove it.
  • The grid, the Total row and Total column update automatically as you change zones, filters or the aggregation.
  • Export XLSX or CSV saves a flat copy of the grid you see on screen.
